It's common to rent more equipment than what you need for a video shoot, because you are planning for things on set that may or may not happen. If your budget doesn't allow you to rent extra equipment for contingency purposes, then you need to make a very detailed equipment list so that you rent the bare minimum grip equipment that you need. 

However, this means meticulously planning out your shoot so that you can determine specific needs. The time you spend in pre-production will be higher than normal to create that equipment list, but it can save money on the production side of things.

You may find that some can help you save money by offering packages of equipment instead of renting individual pieces. These packages may come in kits that they already have ready to go, which makes the check-out and check-in process easy for everyone involved. 

It's also possible to get a deal on equipment if they are returned earlier than anticipated. Rather than returning equipment the next morning, returning it the same day after the school is finished will save you a small amount of rental fees. Every bit counts when you are trying to stay under budget. There are also off-peak rental hours, which means scheduling your shoot at a time of year when equipment rental is not in demand and grip rental companies are looking for your business. 

Rent Old Equipment

Sometimes you do not need the latest and greatest equipment to get your video shoot under budget. Offering to rent older equipment at a reduced rate can save you money. Aside from the camera, it won't matter if your rental equipment is on the older side of things. An older light is going to work just as well as a newer light, and those older c-stands will do the same job at holding up equipment as newer c-stands.
